How this site handles your information

This site is where presenters share professional-development sessions with participants. It is run by KaoTechnologies LLC, a Massachusetts company. Questions or requests: kaotech@theeckersley.com.
What we collect
If you join a session as a participant
- Your name and email address, which you type in or the presenter adds to send you an invitation.
- Which parts of the session you mark complete, and when you last opened it.
- Your answers to quizzes, surveys and forms, with any score and the time you submitted them.
- Any files you upload as an answer.
- That you acknowledged this policy before joining, when, and which version.
Participants don't create accounts or passwords.
If you're a presenter
- Your name, email address and password. We store only a scrambled form of the password that can't be turned back into it.
- The sessions you build and the files you upload.
- That you acknowledged this policy, when, and which version (asked once, and again if the policy changes).
From every visit
Our web server records your IP address, the time, the page you asked for and your browser type. These logs are used to keep the site running and secure.
What we don't do: no advertising, no analytics or tracking tools, and we don't sell your information or share it for marketing.
Please don't enter information about students (names, work, grades or anything else) in your answers or uploads. This site is for adult professional learning.
How it's used and who sees it
Your information is used to run the session, to send you your invitation, and to show the presenters your progress and answers. The presenters of your session, and the site's primary administrator, can see your name, email address, progress, answers and uploaded files, and can download the answers as a spreadsheet, or download a copy of the whole session with its participants and results for their own records. Other presenters on the site can't see them.
Other companies are involved only in these ways:
- Invitation emails are sent through Google's Gmail, which handles them under Google's own privacy policy.
- Embedded videos and documents. When a session includes a YouTube, Vimeo or Google Docs/Drive item, your browser loads it from that company, which can see your IP address and may set its own cookies under its own policy. YouTube videos use YouTube's privacy-enhanced mode.
If a presenter publishes a session to our public gallery, its content (slides, videos, readings and questions) can be viewed by anyone. Participants' names, email addresses, answers, files and results are never shown there.
The site itself runs on a server we operate in the United States.
Cookies and storage on your device
We only use what the site needs to work. There are no tracking cookies.
- Participants: one cookie for each session you join, which keeps you in that session for up to a year.
- Presenters: a sign-in cookie that lasts 14 days.
- Your light or dark setting, if you choose one.
- Work in progress. Answers you've started, and presenters' edits that haven't reached the server yet, are kept in your browser so a reload or a site update doesn't lose them. They stay on your device until you submit or they save, and are then removed. On a shared computer, submit your answers before you leave.
How long we keep it
- Your name and email address: until the presenter removes you from the session or deletes the session. Closing a session doesn't delete them.
- Your progress, answers and uploaded files: until the session is deleted. If a presenter removes you, your name, email and access are deleted, but your answers and files stay with the session as “Removed participant” until the session is deleted, unless the presenter erases them. A file you replace is deleted when you resubmit, and a file attached to an answer you never submit is deleted after 7 days.
- Presenter accounts and content: until they're deleted.
- Server logs: about 15 weeks.
- Backups: we take a backup every week and keep about three weeks of them, so information deleted from the site is gone from the backups within about three weeks.
- Invitation emails: a copy stays in the mailbox that sent them.
Keeping it safe
The site is only reachable over an encrypted connection (HTTPS), passwords are stored scrambled, and files are shown only to the session's presenters, the primary administrator, the participant who uploaded them, and (for a presenter's own files) participants in an open session that uses them. Your personal invitation link works like a password, so please don't share it. If it's been shared, the presenter can turn it off and send you a new one.
Your choices
You can ask to see, correct or delete the information we hold about you, including your answers and uploaded files. Email kaotech@theeckersley.com or ask the presenter of your session.
Changes
If this policy changes, we'll update this page and the date at the top, and ask you to acknowledge it again the next time you open your session or sign in.
